How HireX Employment handles the personal information you give us when you apply, get onboarded, or contact us.
What we collect
- When you apply or get onboarded: your name, contact details, address, date of birth, work eligibility and status, Social Insurance Number, and copies of documents such as photo ID, permits, and certifications.
- When you contact us: your name, contact details, and message.
- Basic technical anti-spam signals (e.g. how long a form took to fill) to keep bots out.
Why we collect it
- To place you on assignments, run payroll, issue your T4, and meet our obligations as a licensed Ontario temporary help agency.
- To confirm your identity and legal right to work in Canada, as the law requires.
- To respond to your enquiries.
How we store and protect it
- Submissions are encrypted in transit (HTTPS) and stored in HireX's private Google Workspace (Sheets and Drive), accessible only to authorized HireX staff.
- Your SIN and document copies are never shared with client companies, except as required by law.
- We keep information only as long as needed for employment and legal record-keeping, then dispose of it securely.
Your choices & rights
- You may ask to see, correct, or delete the personal information we hold about you, subject to records we must keep by law.
- Because verifying identity and work eligibility is a condition of placement, we can't place you if you withdraw the consent needed for that verification.
